Position Summary:
Responsible for streamlining, enhancing, and supporting membership and business office procedures for all branches and staff of the YMCA of Greater Dayton and corporate membership partner.

Essential Functions:
  • Communicates and coordinates with branch staff on membership and operating procedures.
  • Provides collections/accounts receivable support: collects past due balances for programs and memberships through multiple forms of correspondence to members; coordinates/communicates efforts with branch staff.
  • Communicates to collection agencies and chargeback centers to ensure accuracy with members disputing charges, sent to collections, or those removed from collections.
  • Conducts monthly membership audits for all branches, including new memberships, membership changes, terminations, etc.
  • Provides results and suggestions for improvements to membership directors.
  • Maintains in depth knowledge of DAXKO Operations and provides support to all branch staff.
  • Maintains working knowledge of branch departments and provides service to members, program members and community partners.
  • Coordinates efforts with branches regarding membership accounts
  • Maintains accurate policies and procedures for membership functions following best practices.
  • Monitors active membership units on ‘Monthly Invoice’, runs monthly reports, works with Membership directors to update billing information and collect past due balances.
  • Coordinates with the payroll department and membership directors bi-annually to ensure that all employment memberships are accurate.
  • Ensures that all youth membership policies are followed through an annual mailing and coordinating efforts with membership directors
  • Ensures accuracy of data by correctly entering and monitoring membership merges and deletes; reviews all invalid membership merges, moves and deletions on a monthly basis and enters all new merges.
  • Ensures accuracy of terminations by checking the pending batches and cross-referencing membership changes drafts are done correctly.
  • Ensures complete, accurate, and timely processing of membership changes; coordinates/communicates efforts with branches daily.
  • Ensures that all members listed are active on each membership unit are billed correctly by monitoring “Active Members by Membership Type” report for membership discrepancies, coordinates/communicates efforts with membership directors to correct memberships.
  • Reviews new memberships for accuracy by running daily event log and verifying necessary information; ensuring memberships are complete.
  • Ensures that the status for all program members is inactive by running “Active Participants” report and changing annual pay member’s status flag to inactive.
  • Encourages annual pay members to renew their membership by running membership renewal reports and mailing reminder letters and appropriate forms based on membership type.
  • Communicates membership rate changes to members by sending letters.
  • Communicates to direct supervisor and branch staff any concerns or incidents that may need follow-up.
  • Assists with special events.
  • Must be at least 18 years of age. 
  • A 2-year college degree or applicable experience is required.
  • CPR/AED, First Aid and Oxygen within 60 days of hire and kept current.
  • Two years YMCA membership Required. 
  • Strong customer support experience and data entry required. 
  • In-depth knowledge of the Daxko membership software, Microsoft Office products including Excel and Word.
